Workflow Settings
Settings → Workflows controls how workflows look to your customers, when customer emails are sent, how long case records are kept, and how much the designer can be used each day.
Change the settings
- Go to Settings → Workflows.
- Choose Edit Workflow Settings.
- Change the settings below and choose Save Changes.
Portal display name
The name customers see in their portal, up to 120 characters. Leave it blank to use your account name.
Default retention (years)
How many years a case's records are kept after it ends, from 1 to 30. This applies to new workflow templates. Each template can set its own period, shown as Records kept on the template.
Quiet hours
Set From and Until. Customer reminders and "things still needed" emails wait until quiet hours end. Emails a workflow sends as part of a step go straight away.
Daily designer budget
How many designer turns the whole account can use per day, from 0 to 10,000. Setting it to 0 turns the designer off. The Designer Usage Today card shows how many turns have been used. It resets at midnight in your account's time zone.
Workflow email intake
Whether files customers email are added to their case automatically is set in the Workflow Email Intake card on Settings → Mailboxes, not here. The choices are Add Confident Matches Automatically and Always Ask Me. See Running Cases.
Good to know
- Everyone in the account can see these settings. Only owners and admins can change them.
- Changing the default retention doesn't change templates that already exist.
