Uncog AILog In

Your Home Page

Home is the first page you see after you log in. It shows one card at a time: the most important thing waiting on you, with enough on it to deal with it right there. Deal with it and the next card comes forward.

To get back to it from anywhere, choose Home in the sidebar or the Uncog AI logo at the top left.

At the top you see today's date and where you are in your list ("1 of 5"), with a small progress bar. Under the card, Up next names the next thing on your calendar today. The last card in your list is Your Work, which links to your full lists (see Your Work below).

The cards

A card only appears when you need to decide or do something. Each one says what it is and who is waiting on it (for example "Approval · from Eddie"), explains it in a line or two, and gives you one main button, sometimes a second one, and Later.

  • Approval: a workflow step waiting on your sign-off. The card lists what it covers, and, when the workflow includes an Uncog AI assist, a Case Brief of what was collected and flagged (choose Read More for the rest). Choose Approve, or Ask for a Change to send steps back, each with a note the person who did it will see. Approve waits until everything it covers has been handed in.
  • Approval · from Uncog: suggestions Uncog AI found in your email, website chats, cases and connected tools. Choose Review to accept what's right.
  • Missing info: a workflow step only you can do, such as a form or documents. Choose Open Step, or Open Case to see the whole case.
  • Reply: a website chat waiting to hear back. Choose Open Chat to answer it, or Mark Read if it needs nothing more.
  • Meeting: one of your meetings or calls starting in the next two hours, with who it is with. Choose Open, or Prep Notes to open the person or company it is with.
  • Bill: a bill due in the next three days, or overdue, with the supplier, amount and due date. Owners and admins see these. Choose Mark Paid to record the payment (nothing is paid or sent to the supplier), or Open Bill. A bill from Xero has Open in Xero instead of Mark Paid, because you pay it in Xero.
  • Follow-up: one of your deadlines or follow-ups due today or overdue. Choose Mark Done or Open.
  • Suggestion: something worth a look where nothing is blocked. It is either the most important finding from the tools you have connected (owners and admins only), or a customer who hasn't opened their portal link in 5 days. Choose Done once you have acted on a finding: Uncog AI notes its figures on that day and checks them again later, two weeks for website, ads and chat figures and four weeks for money. Choose Resend Link on a portal link. Choose Not Useful to stop seeing it; the same finding doesn't come back for 90 days.
  • Suggestion · from Uncog (something Uncog noticed in your email): for example "I noticed 11 enquiries nobody has replied to", "I noticed it takes about 19 h to reply to a new enquiry" or "I noticed 4 customers have gone quiet". Uncog AI works these out each morning from all the business's connected mailboxes together, as counts and typical times only, never per person and never from what the emails say. Owners and admins see this card. On "I noticed … enquiries nobody has replied to", choose Show Me to see the enquiries themselves — each one's subject, who sent it, which mailbox it is in and how long it has waited — with Open in Gmail to open it where you can reply (a Microsoft 365 mailbox shows the details without a link). Uncog only lists them; replying happens in your own email. Choose Done once you have acted on it: Uncog AI notes the figure on that day and checks it again two weeks later. Choose Not Useful if it isn't worth acting on; the same finding doesn't come back for 90 days.
  • Result · from Uncog: what happened after you chose Done on something Uncog noticed, for example "That worked. Median reply time 19 h → 3.8 h since you acted on 14 Oct." or "This hasn't worked yet." with the before and after figures. Uncog AI says what changed since you acted, not that your action caused it, and shows no card when there aren't yet enough emails or customers to tell. Owners and admins see this card. Choose Got It to clear it, or See Pulse to open the Business Pulse.
  • Suggestion · from Uncog (your ideal customer): "Uncog drafted who your ideal customers are — check it". Uncog AI drafted who your business sells to and nobody has checked it yet. Owners and admins see this card. Choose Review to open Ideal Customer on the first part still to check. After a redraft that changes something, the card comes back.
  • Suggestion · from Uncog (a change to your ideal customer): for example "Add QLD to your ideal customer?", with how many of the customers you won in the last 90 days match it. Uncog AI checks once a week and only suggests changes to parts you've confirmed. Owners and admins see this card. Choose Accept to make the change, Edit to open Ideal Customer on that part, or Dismiss so it is never suggested again. Nothing changes unless you say so.
  • Approval · from Uncog (a batch): a scheduled workflow trigger has a batch of contacts ready to start, for example "3 contacts are ready to start Quarterly check-in". Choose Open Batch to untick anyone who should wait and start the rest. See Running Cases.
  • Suggestion · from Uncog (what Uncog found in your email): "Here's what I found in your inbox". After you connect your mailbox, Uncog AI reads the last 90 days of your email. Once it has, the person who connected the mailbox sees how many people, companies and upcoming dates it found, how many bills there are to check (owners and admins), and how many suggestions are waiting for you to confirm. It shows numbers only, never names or messages. If the day's analysis allowance ran out first, the card says the rest is analysed after midnight. Choose Review to open Review, or See Contacts when nothing is waiting; either way the card goes for good. The card is there for 14 days after the mailbox was read, and only when something was found.
  • Approval · from Uncog (knowledge to review): two or more of your knowledge sources disagree, for example on a fee. Until you pick the right answer, your smart agent and workflows give neither one. Owners and admins see this card. Choose Review to settle it under Knowledge.
  • Started for you: a workflow trigger started a case on its own in the last day — from a key date, a schedule, a connected tool or another workflow finishing. Nothing is waiting on you; choose Open Case to have a look. See Designing a Workflow.
  • Setup: a step of setting up your account (see below).

What comes first

Cards are ranked in this order:

  1. Anything past its deadline or due within 15 minutes, such as a meeting about to start or an overdue bill.
  2. Anything someone is waiting on: approvals (including knowledge to review), missing info and replies, longest wait first. You never get two of the same kind in a row while another kind is waiting.
  3. Anything due today.
  4. Everything else with a date, soonest first, then reminders without a date, such as a portal link nobody opened or what Uncog AI found in your email.
  5. Suggestions (the finding from your tools, your ideal customer to check, and changes suggested to it), then any setup steps.

The card in front stays put while you are looking at it. Something new that arrives goes in behind it, and only the count changes.

Later

Later puts a card away until a time you choose, then brings it back. It never makes a card disappear. Choose Later and pick when: In 1 Hour, This Afternoon, Tomorrow Morning or Pick a Time. The highlighted choice is the usual one for that kind of card, so pressing Enter picks it.

Some cards have limits:

  • Replies can be put off for 4 hours in total, because customers are waiting. After that the card stays at the front with no Later.
  • Meetings only offer 15 Min Before.
  • Bills can wait until the morning before they are due at the latest. An overdue bill has no Later.
  • Suggestions can wait a week, once. Choosing Later again takes the suggestion away for good.
  • Approvals and Missing info come back higher up each time you put them off, because someone has been waiting the whole time.

When a choice would go past a deadline it is greyed out, and the card says why (for example "Due Saturday — can't snooze past Friday.").

Later is only for you. Someone else who sees the same chat or bill still sees it.

Get set up

A new account fills Home with setup cards, one step at a time. While a setup card is in front, the count reads "Setup 2 of 7". You do each step on the card itself; a second button on each card opens the full page if you want more options. Each person sees only the steps they can do:

  • Add your business details (owners and admins): what your business does, your business name, ABN, phone, email and address. With your website filled in, choose Fill In From Website and Uncog AI fills the empty details your website plainly states (see Business Details). Choose Save. Done once what your business does and a phone number or an email are saved. Open Settings opens Business Profile.
  • Describe your ideal customer (owners and admins): "Tell me who you sell to in your own words." When your business details have a website and you haven't described your customers yet, the main button is Read My Website: one tap adds your website to Knowledge, and once it is read Uncog AI drafts your ideal customer from it for you to check. Otherwise choose Describe Them to open Ideal Customer, describe your best customers and choose Tidy It Up, or let Uncog AI draft it from your knowledge. Done once the industries, business size, where they are and who you deal with are confirmed, and nothing Uncog AI drafted is left unchecked. An account that finished setup before this step was added doesn't get it; the ideal customer card reaches it instead.
  • Connect your email (everyone): choose Connect Email. Connect a Mailbox explains what Uncog AI stores and never stores; choose Continue to Google or Continue to Microsoft, approve read-only access to your mail and calendar, and you come back to Home. See Connecting a Mailbox.
  • Add your business knowledge (owners and admins): "Upload a brochure, fee guide or policy. Your smart agent answers website visitors from it — your facts, not guesses." When your business details have a website Uncog AI isn't reading yet, the main button is Read My Website: one tap adds it, visible to website visitors and customers in workflows as well as your team (you can change that under Knowledge). Or choose Add Documents and pick the files, then choose who can see each one: Website visitors (your smart agent can answer visitors from it) and Customers in workflows (your workflows' help may use it) start ticked, and your team can always see it. Nothing is uploaded until you choose Add. Done once a website or a document is added. Open Knowledge opens Knowledge.
  • Put your smart agent on your website (owners and admins): with no smart agent yet, choose Create Smart Agent and give it a name. The card then shows the four-step Go Live checklist: add the website it may show on, add your privacy policy link, paste the embed code into your website (Copy Code) and turn it on. While the first two are missing, Finish Setup opens the smart agent's Setup tab to save them. Once they are saved, turn on Show on my site on the card and the step is done. Open Smart Agent opens the full page. See Smart Agent.
  • Invite your team (owners and admins): choose Send Invites. Done once one invitation has been sent. Open Team opens Team.
  • Publish your first workflow (owners and admins, only when your account designs its own workflows): choose Design a Workflow to open the designer, or Open Templates and then New Workflow to start from an example. Done once a workflow is published. See Designing a Workflow.

Your logo and brand colours are on Branding, and your other tools on Integrations; they aren't setup steps.

Setup cards never get in the way of real work: an approval or a reply always comes first. Each setup card has Later and Skip:

  • Later puts the step away until tomorrow. The third time you choose Later on the same step, it is skipped.
  • Skip takes the step off Home for good. You can still do it from its page whenever you like.

Choose the Setup n of m count at the top of Home to open the Setup Overview: every step with Done, Skipped or nothing beside it, each a link to the page where it is done. The count is there whenever setup is unfinished, even while a working card is in front. At the bottom, Skip the Rest skips every step still to do, after you confirm. Once every step is done or skipped, setup is finished and stays finished: setup cards don't come back, even if a step later stops being done (for example a disconnected mailbox) or new steps are added to setup.

Your Work

Home shows one thing at a time; the Your Work card is how you get to the whole list. It is the last card in your list: once you have cleared every card, it shows Still waiting on you with a row for each list that still has something — a link and a count:

  • My Work: the workflow steps waiting on you, for example "3 steps waiting on you". See My Work.
  • Review: the suggestions from your email waiting for a person, for example "7 suggestions to review". See Reviewing Suggestions.
  • Conversations: the website chats waiting for a reply, for example "5 need a reply". See Smart Agent Chats.

A list with nothing waiting is not shown, and when nothing is waiting anywhere Home shows That's everything. instead (see below). The card isn't something to clear or put off. My Work and Review have no sidebar item, so this card (or Ask Uncog) is the way to them; Conversations is also the first tab of Smart Agent in the sidebar.

When you're done

When you have cleared every card and nothing is waiting in your lists, Home says That's everything. and names the next thing on your calendar. If there is nothing more today, it names the next thing coming up (for example "Nothing until Monday: Harbourside renewal"). If nothing is coming up, it says Nothing else needs you right now. From there, the Start a Workflow and Add a Customer buttons start something new.

Business Pulse

Once you have cleared every card, owners and admins see Business Pulse below the last card (Your Work, or That's everything.): what changed in the business this week, from the tools you have connected in Settings → Integrations (see Integrations). Uncog AI reads them overnight; the line beside the heading names the week the numbers cover and when the pulse was last built (for example "Week of 13–19 Oct · updated 5:00 am"). The most important insight also comes to you earlier, as a Suggestion card.

The pulse leads with one sentence: Uncog AI's summary of the one or two things that matter most this week, written from your numbers. The figures in it are highlighted — lime for a figure that is steady or good, amber for one that needs watching or acting on. Every figure in the sentence is one of your numbers below; Uncog AI never adds a number of its own, and a sentence that states one is left out.

Below the sentence, each of your numbers is a small chip: the number, what it is, and how it has changed on last week as a percentage (for example "$18,412.50 overdue · ▲ 52%", or "1,284 visits · ▼ 3%"). A chip shows only when its tool is connected and has something to measure. Choose a chip to open that tool's section of the Pulse page, or See the full pulse → for the whole page: every number in full, who it is mostly about, where it came from, and your website's week as a chart (see Business Pulse). "Same as last week" means the number did not move. "Last 7 days" means the 7 full days up to yesterday; a chip that compares to last week compares those 7 days with the 7 before them.

Once you have connected your mailbox, a line under the chips says how your email has moved since you started, for example "Since you started: median reply time 19 h → 3.8 h · 11 → 4 enquiries unanswered". Your starting point is your email from before you connected Uncog, counted across everyone's mailboxes together. It is never one person's figures. Owners and admins also see it on the "Here's what I found in your inbox" card, for example "Your starting point: median reply time 19 h · 11 enquiries unanswered".

From Xero:

  • overdue: money customers owe you past its due date.
  • to get paid: how many days, on average, customers take to pay you.
  • cash outlook: your cash balance, with the invoices and bills that fall due in the next 30 days.
  • in bills due: bills you owe that fall due in the next 14 days.

From Google Ads and Google Analytics:

  • on ads: what your ads cost in the last 7 days.
  • per lead: that ad spend divided by the new contacts added in Uncog AI over the same days (contacts imported from a connected tool don't count). Not every new contact comes from an ad, so treat it as a guide.
  • visits and conversions: visits to your website in the last 7 days, and visits that ended in a goal you set up in Google Analytics.

From Stripe:

  • revenue and refunded: the payments you took and the refunds you gave in the last 7 days.
  • a month recurring: what your active subscriptions bring in each month.

From your contacts, once your ideal customer is confirmed:

  • new contacts fit: how many of the contacts added in the last 7 days work at a company that is a strong fit with your ideal customer.

When Uncog AI could not write this week's summary, the pulse says so in one line — "Uncog couldn't write this week's summary — the numbers are below." — and the chips still show.

With nothing connected yet, it says so in one line and offers Connect a Tool. Once a tool is connected, the first pulse shows the morning after. If a connection still needs something, such as choosing an organisation or reconnecting, it says a connection needs attention and offers View Integrations until that is done. To connect, pause or disconnect a tool once there is a pulse, open the Pulse page and choose Manage Integrations from its ··· menu (see Business Pulse). Only people who can manage integrations see the links to Integrations.

Where to see everything

Home shows one thing at a time. For the whole list, open Calendar from the sidebar, Smart Agent → Workflows for your cases, or Smart Agent → Conversations for your website chats. Your workflow steps are listed in My Work, and suggestions from your email in Review; neither is in the sidebar, so open them from the Your Work card on Home, or from Ask Uncog by typing their name. Bills isn't in the sidebar either: open it from a Bill card, from a bill or renewal on the calendar, from a supplier's company page, or by typing "bills" in Ask Uncog.
