Calendar

The calendar holds your meetings, calls, deadlines, follow-ups and key dates, linked to the contacts and companies they involve. Uncog AI also adds dates it finds in your email and meetings from your imported calendar.

View the calendar

  1. Choose Calendar in the sidebar.
  2. Switch between Month and Agenda (a list of the month's events).
  3. Use Previous, Next and Today to move between months.

All times are shown in your account's time zone, which is shown above the calendar.

Filter what you see

Choose Filters to narrow the calendar:

  • Whose events: Everyone or Mine.
  • Event kinds: Meeting, Call, Deadline, Follow-up, Key Date, Other.
  • Company: one company's events.
  • Suggested events: shows events Uncog AI suggested but nobody has accepted yet, as faint entries.

Choose Clear All to reset. Cancelled events are hidden.

Add an event

  1. Choose Add Event, or click an empty day in Month view.
  2. Enter a Title and choose the Kind and Status (Confirmed or Tentative).
  3. Set the time:
    • For a timed event, set Starts and, optionally, Ends.
    • For a whole-day event, turn on All Day and set Start Date and End Date.
  4. Choose how it Repeats: Does not repeat, Every week, Every fortnight, Every month or Every year.
  5. Optionally add a Location, Contacts, a Company, an Owner and a Description.
  6. Check the Reminders.
  7. Choose Create Event.

Contacts on an event

You can link up to 50 contacts. Each has a role:

  • Attendee: takes part in the event.
  • Subject: who the date is about, such as a birthday or a renewal.

You can also add an event from a contact's or company's Calendar tab. The contact or company is filled in for you.

Reminders

Reminders are sent by email to the event's Owner. If there is no owner, or the owner has left the account, they go to every Owner of the account.

  • Choose Add Reminder to add up to 5, from At the start to 2 weeks before.
  • Each kind has a default: Meeting and Call 30 minutes before, Deadline and Follow-up 1 day before, Key Date 1 week before, Other none.
  • Reminders for all-day events count back from 9:00 am on the day.
  • Cancelled and completed events don't send reminders.

Work with an event

Click an event to open its details. Depending on the event, you can:

  • Edit: change its details. For a repeating event, changes apply to the whole series.
  • Mark Complete / Reopen: for deadlines and follow-ups that don't repeat.
  • Log as Interaction: for a meeting or call that has finished and has at least one Attendee. It adds the interaction to each attendee's timeline, with an optional Summary.
  • Cancel Event: it stays on the record, but leaves the calendar and sends no reminders. Restore Event brings it back.
  • Delete: permanently removes an event a person created.

Events from email and imported calendars

  • Events Uncog AI added from email show a From email badge, with the email they came from.
  • Meetings imported from Google Calendar or Outlook Calendar show an Imported badge.
  • These can be edited and cancelled, but not deleted, because the next sync would bring them back. Edits are never written back to Google or Outlook.

The daily agenda email

Go to Settings → Notifications and turn Email me a daily agenda on or off. It arrives at 7:30 on weekday mornings with today's events, overdue deadlines and follow-ups, and key dates in the next two weeks. It covers everyone's events, not just yours. Nothing is sent on a day with nothing to report.

Good to know

  • Everyone in the account can see, add and change events.
  • You can't edit, cancel or delete a single occurrence of a repeating event. Changes apply to the whole series.
  • A repeating event has no end date. It continues until you cancel or delete it.
  • Monthly and yearly events on a date a month doesn't have (such as the 31st or 29 February) fall on the last day of that month.
  • A timed event keeps the time zone it was created in.
