Integrations
Connect the other tools your business runs on so Uncog AI can read their numbers and keep your contacts and companies up to date. Uncog AI can connect to Xero, Google Ads, Google Analytics, Stripe and LinkedIn. It can't connect to HubSpot. Each tool is a tile on Settings → Integrations; a tool is listed only once it is available for your account, so if there is no tile for it, it can't be connected yet. Only Owners and Admins can see Settings → Integrations.
Each tile shows the tool's status: Connected (green tick), Needs attention (amber: something needs you, such as reconnecting or choosing an organisation), Paused or Available (dashed border, not connected yet). Tiles that need attention come first. Select a tile to open the tool's details, where you connect it or manage its connection.
What Uncog AI can and can't do with a connected tool
- Access is read-only, with three exceptions you turn on yourself: Allow payments through the portal (Stripe), Allow Uncog to draft campaigns (LinkedIn) and Allow Uncog to create paused campaigns (Google Ads). Apart from those, Uncog AI never creates, changes, sends or deletes anything in a connected tool.
- From Xero, Uncog AI reads your contacts, your invoices and bills (the number, dates, total, amount due and status), your bank balance totals and your organisation's base currency. It never reads invoice line items, notes or payment details.
- What it reads from any tool is kept in Australia. From Xero, the first sync reads the last 12 months of invoices and bills, plus every one that is still open. Synced data older than 24 months is deleted, except open invoices.
- What each of the other tools shares is under its own heading below.
- Uncog AI checks each connection about every 6 hours.
- What changed in each tool this week shows as the Business Pulse: in short on your Home page, below That's everything. once you have cleared your cards, and in full on the Pulse page (owners and admins). See Business Pulse.
- The AI is only ever given totals worked out from this data (and, for each total, at most three company names or at most three campaign or channel names), never your invoices, deals, payments or your contacts' details. It can't look anything up in a connected tool itself.
Connect Xero
- Go to Settings → Integrations.
- Select the Xero tile, then Connect Xero.
- Sign in to Xero and approve access.
- If your Xero login can see more than one organisation, Uncog AI asks you to choose one. Choose it and select Connect Organisation.
- You return to Settings → Integrations with Xero's details open and see Xero Connected. The first sync starts shortly.
To connect a second organisation, open the Xero tile and choose Add Another Organisation, then pick the other one; each organisation then has its own section in Xero's details. If you close the Choose Organisation window without choosing, the Xero tile shows Needs attention: open it and choose Choose Organisation to finish, or Disconnect to drop it. Only the person who connected it can choose its organisation; if they leave the account first, the unfinished connection is removed.
An account can have up to 10 connections. If you reach the limit, disconnect one you no longer need before connecting another.
Google Ads
- Uncog AI reads your daily ad totals for the ad account you choose: cost, clicks, impressions, conversions and conversion value, for the whole account and for each campaign, with each campaign's name. Once a day it also reads the searches that showed your ads over the last 30 days, as Google reports them, and keeps the 100 with the most clicks (replacing them the next day) to suggest keywords. It never reads your ads' text, your keywords, audiences or billing details.
- The first sync reads the last 90 days.
- Nothing is added to your contacts and companies, so a Google Ads connection has no Import to CRM switch to use.
- To connect, select the Google Ads tile, choose Connect Google Ads, sign in to Google and approve access. If your Google login can see more than one ad account, Uncog AI asks you to choose one: choose it and select Connect Ad Account. Connecting Google Ads doesn't connect Google Analytics; each is connected on its own.
- If an agency or bookkeeper manages your Google Ads through a manager account, connect with a login that can see that manager account: Uncog AI offers the ad accounts under it, each marked Through and the manager account's name. A manager account itself can't be connected.
- If you don't have a Google Ads account yet, the Google Ads tile's details explain how to set one up: create the account in Google Ads (you can skip making a campaign) and add your billing details there, then connect. If your Google login can't see any ad account, nothing is connected. Uncog AI never creates a Google Ads account or pays for ads; you pay Google directly.
- On the Business Pulse it shows what you spent on ads in the last 7 days and the cost per lead: that spend divided by the new contacts added in Uncog AI over the same 7 days, not counting contacts imported from a connected tool. Not every new contact comes from an ad, so treat it as a guide.
- Allow Uncog to create paused campaigns: turn this on in the Google Ads connection's details to let Uncog AI suggest Search campaigns and create them in Google Ads, paused. It is off by default and takes effect straight away. A paused campaign spends nothing until you turn it on yourself in Google Ads; Uncog AI never turns on, changes, pauses or removes a campaign. Turning it off stops new campaigns; ones already created stay in Google Ads. Only Owners and Admins can turn it on. See Business Pulse.
Google Analytics
- Uncog AI reads your website's daily totals for the property you choose: sessions (visits), users, conversions and revenue, for the whole property and for each channel visitors came through (such as Organic Search, Direct or Email). It never reads individual visitors, pages, search terms or anything that identifies a person.
- The first sync reads the last 90 days.
- Nothing is added to your contacts and companies.
- To connect, select the Google Analytics tile, choose Connect Google Analytics, sign in to Google and approve access. If your Google login can see more than one property, choose it and select Connect Property.
- On the Business Pulse it shows your website visits and conversions for the last 7 days.
- You connect a LinkedIn Page you are an admin of. Uncog AI reads the Page's daily views, new followers, and the impressions and engagement (clicks, likes, comments and shares) of its posts, and the daily spend, impressions, clicks and leads of the ad accounts that advertise for the Page, for each campaign too, with each campaign's name. It never reads your followers, the people who saw or clicked your ads, your posts' text, or billing details. It changes nothing in LinkedIn unless you allow it to draft campaigns (below), and then it only creates drafts.
- Leads are LinkedIn Lead Gen form submissions plus conversions LinkedIn tracks on your website.
- The first sync reads the last 90 days. LinkedIn counts days in UTC, so a day's numbers can differ slightly from what LinkedIn shows in your own time zone.
- If the Page has more than one ad account, Uncog AI reads up to five in the same currency. It reads only ad accounts made for this Page that you have a role on, including ones still waiting for a payment method.
- The LinkedIn connection's details name the connected Page, linked to it on LinkedIn, and list the Ad accounts Uncog AI reads, with their currency, marking any that needs a payment method. Before the first sync they say Not checked yet; if the Page has no ad account they say None yet — this Page isn’t advertising.
- If your Page has no ad account yet, the connection's details (and the LinkedIn section of the Business Pulse) show how to set one up: choose Create an Ad Account in Campaign Manager, create the account with your Page as its Page, and have its billing admin add a payment method in Campaign Manager or your company's Business Manager. If a colleague, an agency or your company's Business Manager owns the account, ask them to give you a role on it. Then choose Check Again; a new account can take a few minutes to show. Uncog AI never creates a LinkedIn ad account or pays for ads; you pay LinkedIn directly.
- Drafts Go To: when the Page has more than one ad account, choose the one Uncog AI creates new drafts in. Suggestions already made keep the ad account they were made for. Only Owners and Admins can change it.
- Nothing is added to your contacts and companies.
- To connect, select the LinkedIn tile, choose Connect LinkedIn, sign in to LinkedIn and approve access. If you are an admin of more than one Page, choose one and select Connect Page.
- On the Business Pulse it shows what you spent on LinkedIn ads in the last 7 days, the cost per LinkedIn lead (that spend divided by the leads LinkedIn counted), your Page's new followers and your posts' engagement. See Business Pulse.
- Allow Uncog to draft campaigns: turn this on in the LinkedIn connection's details to let Uncog AI suggest campaigns and create them in LinkedIn as drafts. It is off by default, and turning it on takes you to LinkedIn to approve permission to manage your ad accounts. A draft spends nothing until you add an ad and launch it yourself in LinkedIn Campaign Manager; Uncog AI never launches, pauses or changes a campaign, and never creates the ad. Turning it off stops new drafts; drafts already in LinkedIn stay there. If the switch shows LinkedIn no longer has this permission (after reconnecting LinkedIn), choose Allow Again. Only Owners and Admins can turn it on.
Stripe
- Uncog AI reads your Stripe customers and your daily totals of payments, refunds, fees and payouts, plus your monthly recurring revenue from active subscriptions. It never reads card or bank details, or customers' addresses.
- To connect, select the Stripe tile, choose Connect Stripe, sign in to Stripe and approve access. If your login can see more than one Stripe account, choose it and select Connect Account.
- Allow payments through the portal: turn this on in the Stripe connection's details to let a workflow with a Payment step take payments. The customer pays by card on Stripe's own page and the money goes to your Stripe account; Uncog AI takes no fee and never sees card details. It is off by default, and a workflow with a Payment step can't be published until it is on. Turning it off stops new payments; a payment already made is unaffected.
- With Import to CRM on, each customer with an email address is added to your contacts, matched by email. A customer with a company name also adds that company, matched by name.
- On the Business Pulse it shows your revenue and what you refunded in the last 7 days (refunds only when there were any in the last two weeks), and what your subscriptions bring in a month recurring (only when you have subscriptions).
Import to CRM
When Import to CRM is on (the default), each sync adds your Xero or Stripe contacts to your contacts and companies. From Xero, it brings the name, ABN, email address, website, phone, and whether Xero marks them as a customer, a supplier or both. Archived Xero contacts, and contacts with a data-erasure request in Xero, are not imported.
- A Xero company is matched by its ABN, then its website domain, then its exact name. A person is matched by email address. A match is updated, not duplicated.
- The import only fills in empty details, or details it filled in itself. It never overwrites something you or your team entered, or something the AI found. A difference becomes a suggestion in Review for you to accept or dismiss.
- To stop importing, open the tool's tile and turn off its Import to CRM switch. Contacts and companies already imported stay.
A tool's details
Select a connected tool's tile to open its details. The first line names the organisation, ad account, property, page or account it reads (Organisation, Ad Account, Property, Page or Account). For LinkedIn, Google Analytics and Stripe the name is a link that opens it in that tool, so you can check you connected the right one. Then come its Last sync, who connected it and when, its Import to CRM switch (for tools that import), Open Review to see suggestions waiting for you, and these actions:
- Sync Now: check for changes straight away. You can do this once every 10 minutes per connection.
- Pause: stop syncing. Nothing is deleted. Choose Resume to start again from where it left off.
- Reconnect: shown when the tile says Needs attention and the tool stopped Uncog AI's access, which means the tool stopped Uncog AI's access (for example, access was removed in that tool, or it went unused for too long). Sign in to the tool again and syncing carries on. The person who connected it is emailed when this happens (or, if they're no longer an Owner or Admin, every Owner and Admin is).
- Disconnect: see below.
Disconnect
- Go to Settings → Integrations.
- Select the tool's tile, then Disconnect.
- Choose Disconnect Xero (or the name of the tool you are disconnecting) to confirm.
Uncog AI hands its access back to the tool and deletes everything it synced from that connection. Imported contacts and companies stay in Uncog AI. Nothing in the tool changes.
Webhooks
A webhook tells a system of your own — a practice management tool, a spreadsheet automation, your own software — what your cases do. Select the Webhooks tile under Settings → Integrations, then Add Webhook, and give it:
- a Name, and a Key such as
practice_systemthat a workflow's Notify a connected system step names (see Designing a Workflow); - an Address: an
https://address on the public internet. An address on a private network or this machine is refused; - Tell it when: a case starts, a stage opens, a step is completed, a case is completed or a case is cancelled. A workflow's own Notify a connected system step posts to it whether or not any are ticked;
- Allow workflows to include customers' answers: without it, posts carry the case's ids, keys and status and never an answer, a name or an email address. With it, a Notify a connected system step may send the answers of the forms it names, as the customer typed them.
After Add Webhook the Signing Secret is shown once; choose Copy Secret and keep it in the receiving system. Every post carries an X-Uncog-Signature header (t=<seconds>,v1=<hex>, an HMAC-SHA256 of <seconds>.<body> with the secret) for the system to verify, and an X-Uncog-Delivery id it can use to ignore a repeat. Choose Rotate Secret for a new one; the old one stops working straight away.
Each webhook's Deliveries lists what was sent, when, and the result (Delivered, Sending or Failed with the HTTP status). Send Test posts a test message with no case. A post that fails is retried five times over about an hour; a webhook that keeps failing for a day is paused and the person who added it is emailed (or, if they no longer manage integrations, every Owner and Admin is). Check the system is up, then choose Resume; updates that could not be delivered are not re-sent. Pause stops posts yourself, and Delete removes the webhook — a workflow step that names its key then fails until the step is changed.
Who can manage integrations
Only Owners and Admins can connect, pause, sync, reconnect and disconnect integrations, and add, change or delete webhooks. A connection belongs to the account, not to the person who connected it, so it keeps working when that person leaves. Members and the Uncog AI onboarding team can't see Settings → Integrations.
