Members and Roles

Use Settings → Members to invite your team, change what each person can do, and remove people who no longer need access.

The three roles

  • Owner: can do everything, including making someone else an Owner and managing other Owners.
  • Admin: can invite and manage members, change settings (including Settings → AI and Settings → Workflows), manage everyone's mailboxes, see the Audit Log, and design and publish workflows.
  • Member: can work on contacts, companies, the calendar, Review, cases and My Work, and connect their own mailbox.

Everyone can see the list of members.

Invite people

  1. Go to Settings → Members.
  2. Choose Invite Members.
  3. In Email Addresses, enter one or more addresses, separated by commas, spaces or new lines.
  4. Choose a Role: Member (the default) or Admin. Everyone in the batch gets the same role.
  5. Choose Send Invitations.

Uncog AI shows a result for each address, such as Invited, Already a Member, Already Invited or Invalid. Choose Done to close.

You can't invite someone as an Owner. Invite them as a Member or Admin, then change their role once they have joined.

Manage invitations

  1. Go to Settings → Members and open the Invitations tab.
  2. Switch between Active and Resolved to see pending or finished invitations.
  3. From a pending invitation's actions, choose:
    • Resend Invitation: sends a fresh email. The old link stops working. This also brings an expired invitation back to life.
    • Cancel Invitation: the link in their email stops working.

Invitation links last 7 days. You can resend an invitation once a minute at most.

Accept an invitation

  1. Open the invitation email and follow the link.
  2. Depending on whether you already have a login, choose Accept Invitation, Log In and Accept or Sign Up and Accept.

You must use the email address the invitation was sent to. If you are logged in as someone else, choose Log Out first.

Change someone's role

  1. Go to Settings → Members.
  2. Open the person's row actions (or their detail page) and choose Change Role.
  3. Pick the new Role and choose Save Changes.

Remove a member

  1. Go to Settings → Members.
  2. Open the person's row actions and choose Remove Member, then confirm.

They lose access straight away. Their contacts and history stay with the account.

Leave an account

  1. Go to Settings → Members.
  2. On your own row, choose Leave Account, then confirm.

You lose access until someone invites you again.

Hand over ownership

There is no separate transfer button. To hand over:

  1. Make the new person an Owner with Change Role.
  2. Then either they change your role, or you choose Leave Account.

The Audit Log

Owners and admins can see Settings → Audit Log. It records who changed what in the account, and whether a person, the AI or an automatic process did it. Examples are sign-ins, role changes, invitations, mailbox changes, accepted and dismissed suggestions, and reminder emails. You can filter by Action, Record and Who. Entries are permanent and can't be edited or removed.

Good to know

  • Only Owners and Admins can invite people, change roles or remove members.
  • Admins can manage Admins and Members. Only an Owner can make someone an Owner, or change or remove an Owner.
  • You can't change your own role or remove yourself. Use Leave Account instead.
  • An account must keep at least one Owner. The last Owner can't be demoted, removed or leave until another member is made an Owner.
  • To delete your own profile or the whole account, email [privacy email].
